About the Role

We are looking for an Executive Assistant to the Vice President who can Act as the point of contact among executives, employees, clients, and other external partners.

What You Will Do

  • Provide secretarial and administrative support to Vice President
  • Manage and maintain schedules and synchronize Vice President’s appointments
  • Handle all travel arrangements including accommodation, flight ticket bookings
  • Handle and screen telephone calls
  • Handle expense claims using a web-based reimbursement system (Soundtrax), manage banking matters etc.
  • Interact with both the internal and external parties for coordination of meetings
  • Prepare management reports and meeting support
  • Plan and coordinate meetings, conferences, and events in India, both internal and external
  • Familiar with working with government agencies
  • From time to time the job holder will be expected to carry out other activities/special projects for which she is competent to do in order to assist in the efficient operation of the Company.

What You Need

  • Computer literate and proficient in Microsoft Office applications; in particular Outlook, Excel, Word and PowerPoint. SAP experience would be an advantage.
  • Experience of working within a multi-layered matrix organization with multiple offices to communicate with.
  • Excellent inter-personal skills and able to work effectively in multi-cultural and international environments
  • Excellent literacy, communication, and analytical skills at all levels, with both internal and external customers
  • Ability to control and maintain multi-task efficiently
  • Ability to define and resolve problems, collects data, establish facts, and draw valid conclusions.
  • Ability to work on own initiative while prioritizing and meeting deadlines.
  • Ability to assimilate information quickly, efficiently, and accurately from varying sources.
